New York Lawyers for the Public Interest (NYLPI), a community-driven civil rights organization, seeks an Office Manager to join our operations customer service team.

About the Role

As a member of the operations team, the Office Manager ensures a comfortable and productive work environment for the staff of NYLPI.  The Office Manager supports the implementation and upkeep of all office technology processes and systems and reports to the Director of Human Resources and Administration.  

Technology Duties:

  • Administer organization-wide productivity systems such as Office 365, Dialpad, Teams, CMP, and Zoom.
    • Support colleagues with basic hardware and application troubleshooting, including in the NYLPI office and for remote work. 
    • If needed, escalate hardware and application issues to the IT support vendor and manage that relationship.
  • Oversee the procurement, configuration, and tracking of new hardware for staff, including coordinating the delivery and return of organization issued equipment.
  • Provide basic training to end-users on the use of office technology.
    • Maintain clear and accurate operations documents/procedures for reference purposes.
  • Provide technical support for in-house webinars and organization-wide meetings, as required, including Zoom scheduling and setup, calendaring of conference rooms, and use of A/V equipment.
  • Administer Dialpad telephone lines and set up extensions for new users.
  • Troubleshooting basic computer problems, including replacing keyboards/monitors, updating Outlook distribution groups, and formatting documents. 
  • Coordinate the maintenance of office equipment, including copiers, fax, postage machines, and phones.

Operations Duties:

  • Administer job searches, including ongoing intern and fellow searches– keeping Excel spreadsheet of applicants, setting up interviews with candidates and search committee, providing materials to the search committee, etc.
  • Assist with the set-up, training and orientation of new staff and interns.
  • Prepare and arrange for paper files to come and go from storage, while moving toward digitizing all.
  • Manage facilities, including ordering office supplies, doing minor upkeep, and scheduling additional cleaning and repairs.
  • Implementing sustainability and cost saving measures in the office, such as monitoring energy use and helping with the recycling and waste reduction programs.
  • Taking on other administrative and assistance requests as part of the operations customer service team, as needed. 

 

QUALIFICATIONS

Required

    • 2-3 years of experience in office technology and operations, including the ability to navigate computers, websites, software and other information technology with ease, and ability to do basic troubleshooting, including proficiency in Microsoft Office 365.
  • Based in the NYC Metro area and willing to work primarily in the office
  • Good customer service ethics, including strong interpersonal, communication, and relationship-building skills
  • Ability to manage multiple workflows, prioritize responsibilities, follow-up and complete assignments in a timely manner
  • Ability to work both independently and collaboratively, with individuals and cross-disciplinary teams
  • Desire to evaluate and improve existing processes to increase efficiency
  • Ability to adapt to change with ease and grace
  • General office equipment troubleshooting skills (copiers, fax, postage machines, and phones)

Preferred

  • Proficiency with SharePoint, Asana, Teams, and CMP.
  • Bilingual English/Spanish
  • Demonstrated interest in social justice

Salary $55,000 – $65,000, depending on experience.  NYLPI offers comprehensive employer-paid benefits, including health insurance, short- and long-term disability and life insurance, an outstanding retirement savings plan, fifteen (15) days of vacation during the first year of employment, and holiday swapping policy to allow for the observation of holidays of your choice.  Office hours are Monday – Friday, 9:30 a.m. – 5:30 p.m. NYLPI requires that all employees demonstrate proof of vaccination and booster against COVID-19 as a condition of employment unless you qualify for a reasonable accommodation.
